Request for Proposal (RFP) for Strategic Facility Management Partners

WESTLINK FACILITIES MANAGEMENT COMPANY LIMITED is a subsidiary of WEMABOD LIMITED. As a full fledge Company, WESTLINK has an FM portfolio that comprises iconic real estate properties of WEMBOD LTD, Odu’a Investment Company Limited and those of other third parties within Lagos, Ibadan, and upcountry.

We are desirous of having FM Strategic Partnership with competent facility management companies in managing our diverse portfolio of properties.

Purpose

This RFP is intended to solicit proposals from qualified facility management companies to enter into contractual agreements as Resident Facility Managers in our FM locations. The selected partners will represent and assist us in managing various specialised buildings, residential estates, corporate and commercial buildings and facilities owned by our esteemed clients under our stewardship.

Scope of Work

The scope of work for the selected facility management companies includes, but is not limited to:

1. Maintenance Services: Routine and preventive maintenance of electrical, power generating, plumbing, HVAC, and other building systems.
2. Cleaning and Janitorial Services: Regular and deep cleaning of common areas, office spaces, restrooms, and other facilities.
3. Landscaping and ground keeping: Maintenance of lawns, gardens, and outdoor spaces.
4. Waste Management: Efficient collection, disposal, and recycling of waste materials.
5. Energy Management: Implementation of energy-efficient practices and monitoring utility usage.
6. Security Services: Implementation of comprehensive security measures including personnel, surveillance systems, and access control.
7. Customer Service: Handling inquiries, complaints and service requests from residents and visitors promptly and professionally.
8. Establishing a high-performance building operations’ professional team to deliver optimal, efficient, cost effective, sustainable, and customer centric services.
9. Drive the collection of Service Charge and Energy bill settlements.

Proposal Requirements Interested companies are required to submit a comprehensive proposal that includes the following information:

1. Company Profile: Overview of the company, including history, mission, vision, and organizational structure.
2. Experience: Details of relevant experience in facility management, particularly in managing residential estates, markets, commercial buildings, and warehouses.
3. Service Delivery Approach: Detailed approach to delivering the services outlined in the scope of work, including methodologies and processes.
4. Health, Safety, and Environment (HSE) Policies: Outline of HSE policies and practices.
5. Technical Capability: Description of technical expertise, including staff qualifications and certifications.
6. References: Contact details for at least three (3) client references.
7. Legal and Regulatory Compliance: Proof of compliance with relevant Nigerian laws and regulations, including valid registration with relevant professional bodies.
8. Please indicate if you are a pre-qualified vendor of Westlink as it will be a point of reference and an added advantage.
